RELEASE NOTES QUILL V2.8

Introduction

This document provides information about the release of Quill v2.8 (January 2025). Quill v2.8 will be released to the QA environment on 07/01/2025 and to the production environment on 21/01/2025.

What’s new in this release?

We are excited to introduce several enhancements and new features in this release of Quill. Below, you'll find a comprehensive overview of the key updates.

Quill Document Retention Policy

Quill is committed to compliance with data minimization principles. Our retention policy is designed to automate document lifecycle management while offering flexibility for users to tailor settings to their needs. Some important changes are implemented in v2.8.

Key Retention Guidelines

Retention Periods for Completed Documents:

  • Completed documents have a maximum retention period of 30 days.
  • For new customers, the default retention period is 7 days.

Retention Periods for Incomplete Documents:

  • Incomplete documents are stored for up to 90 days.
  • For new customers, the default retention period is 30 days.

Folder-Specific Retention Options:

  • When enabled, individual folders can have unique retention settings, allowing users to customize deletion periods based on their specific requirements.

This policy ensures compliance and provides users with the tools to efficiently manage document lifecycles within Quill.

Support for itsme® without NRN

Enables users to sign with itsme® without the need for a National Register Number (NRN), expanding accessibility for a broader user base.

The default setting of an itsme® signature is without NRN. In case you would need a signature with NRN, this needs to be configured explicitly.

Communication Module in Approval and Signing Flow

Introduces a communication feature allowing approvers and signers to exchange messages directly within the approval and signing flow, enhancing collaboration.

Personal Message per Approver/Signer

Adds the ability to include personalized messages for each approver or signer in the workflow, creating a more tailored and humanized experience.

Sealing of Documents using API
Adds support for digitally sealing documents through the API to ensure integrity and authenticity of finalized documents.

Configurable Allowed File Formats

Allows administrators to define which file formats can be uploaded and processed, ensuring compliance with organizational policies.

MFA for Admins

Multi-factor authentication (MFA) is introduced for administrators to strengthen the security of high-privilege accounts. The supported MFA methods include Google Authenticator and Microsoft Authenticator. Organizations can configure MFA settings to enable or disable it for administrator accounts and, optionally, extend the requirement to other users. By default, this setting is disabled.

Integration of Adobe Sign PDF with Predefined Signature Fields

Supports Adobe Sign PDFs with predefined signature fields, streamlining the signing process for such documents.

Active Directory Integration

Allows synchronization with Active Directory for streamlined user management and access control.

New Connector: Azure Storage

Adds integration with Azure Storage as a storage option, enabling seamless document storage in Microsoft’s cloud infrastructure.

Miscellaneous

Stronger Password Policy

Implements stricter password requirements to enhance account security, including length and complexity rules. For existing users, no immediate changes are required to their current passwords. However, we strongly recommend that users update their passwords to align with the new security standards for optimal protection.

Include Storage Location in Evidence Reports

Enhances evidence reports by including the storage location of signed documents for better traceability and compliance.

Configure Signature/Initials through API
Provides the capability to define signature and initial fields via API, enabling greater flexibility in automated document preparation.

Prevent User Invites with Empty First/Last Name via API
Adds validation to block user invitations via API if the first or last name fields are empty, ensuring proper identification.

Webhook for "WAITING_FOR_SIGNATURES" Status

Introduces a webhook to notify integrations when a document reaches the "WAITING_FOR_SIGNATURES" status, enabling real-time updates.

What’s planned for the next release?

We are committed to further enhancing Quill and have exciting features planned for the next release, scheduled for the start of the next quarter.

Document Merge for Signing/Approval

Users will be able to upload multiple documents and merge them into a single document for streamlined signing and approval processes.

Signer-Level Legal Notice

Added the ability to include a legal notice specific to each signer, ensuring tailored compliance and clarity.
